The Benefits of Better Workflow Management

Some pundits argue that we will see signs of a rebound of the US economy  in the not too distant future.  If your enterprise has weathered the storms rather well to date, you might be well advised to prepare for that upturn. In that connection, perhaps you should investigate “workflow automation“, sometimes also described as “enterprise job scheduling”, “workflow management system” and/or “workload management system”, which allows IT organizations to automate and cope with IT limitations by means of simplifying and managing the development of business processes which, in turn, will significantly enhance service levels and reduce the cost of operations.

Stated more simply, workflow management “”¦is a computer system that oversees and defines a multitude of operations in an organization so as to produce a final result or results.”  It enables users to define specific   workflows for a very wide range processes or projects.  Suppose that your enterprise is large General Motors automobile dealership which sells (a) new Cadillacs, Oldsmobiles, Chevrolets automobiles, (b) new Chevrolet trucks and (c) used cars and trucks.  Also suppose that your dealership has a very busy and well respected Service and Parts Department.

In that environment, paper flow and effective communication difficulties have been the cause of hours of wasted time and personnel tensions. For example, one salesperson wants to deliver a new car at 1:00 PM on Tuesday and fills out a new car “Make Ready” order and places it the Service Department Inbox 24 hours before the scheduled delivery. The Make Ready order specifies that the new car must be ready for delivery by 1:00 AM on Tuesday. There isn’t an experienced car salesperson who doesn’t have a number of horror stories concerning the deliveries from Hades, because the car was not ready for delivery at the designated time.

With the help of workflow automation, one individual or group is responsible for a specific task. Upon completion of each task Workflow software ensures that those responsible for the next task are advised and receive the necessary information at the appropriate time. Workflow management systems also automate redundant tasks and ensure that uncompleted tasks are followed up.

In a broader perspective, workflow management could significantly impact  the current methods of managing cloud and virtual environments.  Cloud and virtualization processes will increase demand for automation. Why? Because the duties they will discharge demand an abundance of resources. Accordingly, resource management in virtual and cloud environments is will be required in order to accomplish the execution of huge tasks and to produce the anticipated savings to be derived from cloud computing.
