What is SAP Business One?
SAP Business One is software that helps you run your business. It tracks your sales, customers, inventory, purchasing, financials, and manufacturing in one integrated application. Think of it as the “core” of your business that ties everything together so you spend less time on manual processes like data entry and you’re more available for things like great customer service.
What size business is SAP Business One best suited for?
SAP Business One is designed for small to midsize businesses, supporting everything from lean teams to fast-growing enterprises. While it’s often referenced for organizations processing up to 10,000 transactions per day, many customers successfully operate well beyond that range. We work with companies that have just a handful of employees, others with hundreds, and even organizations handling 100,000+ daily transactions. Ultimately, the right fit is determined by business process complexity and operational needs, not company size alone.
How much does SAP Business One cost?
Pricing for SAP Business One is tailored to your business, based on the number of users and the scope of your implementation.
-
- User Licensing: Please refer to the SAP Business One summary PDF available on our website or Contact us for more information.
- Implementation Services: Quoted based on your specific requirements, business complexity, and goals
- Optional Budget Considerations: Training, customizations, and system integrations to maximize long-term value
We believe in transparent, predictable pricing and partner with you to design a solution and budget that supports both your current operations and future growth—so you’re investing with confidence, not guesswork.
How long has SAP Business One been around?
SAP Business One has been mainstream as a trusted business solution since the early 2000s. It’s backed by SAP, the global leader in enterprise software, with:
- Over 83,000 customers worldwide
- Presence in 170+ countries with 1.2+ million users
- A history of four decades of innovation
And we, Cornerstone, have over 40 years of experience helping companies implement, optimize, and grow with SAP Business One.
How many companies are using SAP Business One?
Over 80,000 customers worldwide run SAP Business One, with over 1.2 million users across 170+ countries across manufacturing, distribution, services, retail, and more.
Don’t big brands like Nike, Starbucks, and Coca-Cola run SAP?
Yes — major global brands like Nike and Coca-Cola run SAP technology at enterprise scale. They use SAP’s advanced ERP platforms such as SAP S/4HANA, which are engineered for complex, global operations.
SAP Business One is part of the same SAP ecosystem, but it’s designed specifically for small and midsize companies that need enterprise-grade reliability without the complexity or cost of large-enterprise systems.
Of course, it’s also worth mentioning that SAP Business One has a MUCH more reasonable price tag!
Will SAP Business One grow with my business?
Absolutely.
SAP Business One is scalable and flexible, capable of handling significant growth and more than 100,000 transactions per day in many cases. For very high-volume or highly complex global operations, we’ll help you decide whether Business One remains the best fit or if a more advanced SAP solution is a better long-term strategy.
Can I import my existing data into SAP Business One?
Yes — and we make it practical:
- Master data (customers, vendors, inventory, chart of accounts) is typically imported smoothly and cost-effectively.
- Historical transactional data is possible too, but more complex due to dependencies between records — and in many cases may not be cost-effective or necessary.
We’ll consult with you to determine what makes sense based on your business priorities.
I’m outgrowing QuickBooks — does SAP Business One make sense?
Yes — that’s one of the most common reasons companies switch.
If you find yourself dealing with:
- Manual spreadsheets and workarounds
- Multiple systems that don’t talk
- Slow reporting
- Redundant data entry
- Inventory headaches
SAP Business One gives you a single source of truth and tools built for real growth — not just basic bookkeeping.
I currently run Sage (SBT/ACCPAC/Pro Series). Should I switch?
Products like Sage Pro ERP (formerly SBT, ACCPAC Pro Series, and VisionPoint) were officially retired by Sage many years ago and are no longer supported or updated by the vendor. While some independent consultants may still offer patching or limited support, these legacy systems lack ongoing development, security updates, and modern capabilities — meaning your business will increasingly be limited by outdated technology.
Migrating to a modern ERP platform like SAP Business One not only future-proofs your operations but also gives you access to current features, vendor support, and a roadmap for growth with an active global ecosystem of developers and partners.
Can more than one employee share a license?
While this sounds like it would be a nice way to save some money, it’s not a good plan and we strongly advise against it. Here’s why:
- While multiple people can technically log in under one user, SAP Business One isn’t designed for shared access. Doing so:
- Violates SAP licensing terms
- Risks data corruption
- Breaks audit trails
We strongly recommend one license per active user for performance, compliance, and accurate business data.
How long does a typical implementation of SAP Business One take?
There’s no one-size-fits-all timeline. Implementation length depends on your business complexity, data volume, and level of customization. Some projects can be completed in a matter of weeks, while larger or more complex implementations may take several months.
For most Cornerstone customers, a 1–3 month timeframe is the most common. Smaller, more straightforward projects tend to fall on the shorter end of that range, while more complex environments may require additional time to ensure everything is configured, tested, and adopted properly.
Will implementation require a lot of work from my team?
Yes. Your team’s involvement is absolutely critical.
No outside consultant knows your business better than you do — and your internal project leader plays a central role in:
- Defining requirements
- Validating data
- Driving decisions
We’ll guide you every step of the way — but your participation is essential.
Do I have to wait until year-end to switch?
No. You can implement SAP Business One at any time of year.
Most companies prefer month-end for accounting simplicity, but it’s not required — the system posts transactions to the right accounting period based on dates, not installation timing.
Is SAP Business One customizable?
Yes — on multiple levels:
- Built-in customization: User-defined fields, dashboards, approval workflows, and user permissions
- Advanced customization: Tailored features, integrations, and specialized functions built by our SAP Business One developers
Whether you want small tweaks or deep system enhancements, we can help.
What are the server requirements for SAP Business One?
SAP Business One runs on a SQL Server environment with midrange hardware. While SAP’s official minimum requirements are sufficient to get started, we recommend exceeding them for smooth performance and to support future growth.
System requirements are grouped into three categories:
- Server requirements – for hosting the database and application
- Software requirements – including SQL Server and supported operating systems
- Workstation requirements – for the computers your team will use

Can I access SAP Business One on my phone or tablet?
Yes! SAP Business One offers mobile access so you can review dashboards, approve documents, and manage key business processes from anywhere — keeping you in control even when you’re away from your desk.
With SAP Business One 10.0, version FP 2508, there is an enhanced Web Client that focuses on providing a modern, responsive interface for mobile and tablet users, allowing you to access the system directly from a browser without needing a full desktop installation. Key features include:
- Real-time dashboards and analytics
- Document approval workflows
- Sales and customer management
- Access to key business functions on the go
This ensures your team can stay productive and make informed decisions anytime, anywhere.
Is SAP Business One compatible with Microsoft Outlook or Office?
Yes! SAP Business One works seamlessly with Microsoft Office, including Outlook and Excel, allowing you to integrate emails, spreadsheets, and reports directly with your ERP data.
Can I run the software on a Mac?
Yes — Mac users can access and use SAP Business One, but it’s important to understand how.
SAP Business One is a Windows-based ERP application and is officially supported only on Windows operating systems with SQL Server or SAP HANA. There is no native macOS version, and SAP does not provide official support for running it directly on a Mac. Compatibility on macOS is achieved through third-party virtualization or remote access technologies.
There are several practical ways to run SAP Business One on a Mac, including:
- Web Client: Access many core functions directly through a browser without installing Windows.
- Virtualization or Remote Desktop: Use tools like Citrix, Parallels Desktop, VMware, or Microsoft Remote Desktop to run the Windows client on a Mac.
- Boot Camp (Intel Macs only): Boot directly into Windows for native performance.
We can guide you through the setup process to ensure smooth performance, so your team can work efficiently from any Mac while leveraging all the power of SAP Business One.
Can I run the whole system “on the cloud”?
Absolutely. SAP Business One can run entirely on the cloud, which means no servers are needed on-site. This is ideal for businesses that prefer minimal hardware while still gaining the full power of an enterprise-grade ERP.
Benefits of a cloud deployment include:
- Faster implementation – get up and running more quickly than on-premise setups
- Reduced IT management – automatic updates, backups, and maintenance handled by the provider
- Access from anywhere – work remotely on desktops, tablets, or smartphones
- Scalable – easily add users, storage, or modules as your business grows
Considerations:
- Internet required – if your connection goes down, the system won’t be accessible
- Recurring subscription costs – cloud hosting and subscription-based licenses replace traditional one-time software purchases
Cloud deployment offers flexibility, efficiency, and scalability, but it’s important to plan for reliable connectivity and ongoing subscription fees.
Can SAP Business One replace my other non-integrated software?
In most cases, yes. SAP Business One provides all the core functionality for growing business needs in one integrated system, reducing or eliminating the need for separate software.
If there’s a specialized system you want to keep, our programmers can often integrate it with SAP Business One to automate workflows and keep your data synchronized.
